Receptionist/Office Coordinator

This is a great opportunity for a very organized people-person to get in on the ground floor of a growing agency and make a big impact. The ideal candidate will display a high level of professionalism and confidentiality in this important role. We are seeking someone who has excellent written and verbal communication skills, a strong decision-making ability and a keen eye for details.

RESPONSIBILITIES

  • The ideal candidate for this position must have demonstrated organizational agility. This is demonstrated by the following abilities:
  • Take charge of tasks autonomously
  • Work independently and with little direction/supervision
  • Communicate effectively to diverse audiences
  • Manage multiple deadlines while constantly prioritizing tasks
  • Calendar management, meeting and event scheduling and preparation, travel and expense management for the Leadership Team
  • Display positivity and hospitality as the first impression of the company when welcoming guests to the office
  • Manage a wide range of administrative and support-related tasks with little supervision
  • Assist the marketing  team with events and other projects
  • Reach out to key contacts to schedule networking meetings and draft email messages as requested
  • Bookkeeping
  • Manage all internal team related scheduling and events (weekly staff meetings, 1:1s, celebrations, etc.)
  • Facilities management and coordinating with vendors providing support.
  • Process incoming mail
  • Manage procurement of all office supplies equipment and materials
  • Maintain supply of all stationery and marketing materials, work with designer and printing services when needed
  • Quarterly business review and strategic planning support (scheduling, prep materials, and presentation support)
  • Internal communications; weekly newsletter
  • Assist with company award initiatives
  • Manage and execute annual holiday card mailing and contact list management
  • Manage general office needs
  • Serve as liaison for office staff for IT issues/needs to resolve
